Pay: $20.00 Hourly 

Position Overview

The Office Manager is responsible for administrative support to the branch management team, ensuring smooth operations across shipping, finance, HR, and vendor coordination. This role involves processing reports, managing invoices, overseeing office supplies, handling employee onboarding, and maintaining accurate records for financial and operational activities.

Key Responsibilities


Branch Support & Administration

  • Assist branch leadership in budgeting, planning, and daily operations
  • Order and maintain office supplies
  • Manage incoming and outgoing mail
  • Process and file operational documents, including OE’s, WT’s, and PO’s
  • Ensure all management reports are correctly configured and distributed


Shipping & Logistics Coordination

  • Process shipping feedback and ensure accuracy in reporting
  • Schedule shipments via UPS and LTL (ArcBest)
  • Track and maintain bin locations for inventory management
  • Handle order adjustments and cancellations as needed


Finance & Accounting Support

  • Process monthly accrual reports and clear CSI reports
  • Match fuel and UPS receipts to invoices
  • Oversee accounts payable and accounts receivable
  • Manage co-op approvals and vendor returns, providing necessary documentation to buyers
     

HR & Employee Support

  • Act as the HR liaison, assisting with onboarding and employee life cycle events
  • Maintain up-to-date employee files
  • Support payroll-related processes, including COD check distribution
  • Ensure compliance with company policies regarding safety and operational procedures
     

Vendor & Customer Relations

  • Coordinate vendor returns and provide necessary documentation
  • Manage order processing and follow up on pending approvals
  • Process Purchase Order Return Merchandise (PORM) requests
  • Ensure accurate customer invoicing and adjustments


Other Duties as Assigned by Management

 

Role Requirements

  • High school diploma or GED with 1–3 years of experience, or equivalent combination of education and experience
  • Strong attention to detail with the ability to manage multiple projects and priorities
  • Proficiency in Microsoft Office Suite
  • Knowledge of office equipment and general administrative functions
  • Strong communication and customer service skills

  • Regularly required to sit, stand, and walk; must be able to lift/move up to 10 lbs
  • Fast-paced environment requiring multitasking and attention to detail
