Millwork Quality Pro – Administrative - Accounting\Maintenance

Starting Salary: $17.50 Hourly

Employment Type: Hourly Full-Time

Work Environment: Monday–Friday, 7:30 am to 4:00 pm

 

Job Summary:

This position provides administrative support to Maintenance, Production, Safety, Accounting, Operations, and vendor partners. The role also supports the Customer Service/Warranty department by assisting with customer orders, warranty needs, and other departmental responsibilities as needed. The Millwork Quality Pro is responsible for maintaining accurate records, processing vendor information and invoices, supporting preventive maintenance activities, and ensuring information is entered accurately and on time across multiple systems. 

This position requires strong organization, attention to detail, communication skills, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

 

Duties & Responsibilities:

Some of the tasks performed by the Millwork Quality Pro include onboarding new vendors into SAP, processing and coding vendor invoices using SAP and Serrala, maintaining vendor invoice history, creating and updating preventive maintenance schedules in MVP, and maintaining accurate asset and machine information.

 

Additional responsibilities include:

  • Create new PM schedules using the MVP system.
  • Input PM status updates into MVP.
  • Code Maintenance time to the appropriate machine numbers in MVP.
  • Maintain the Door Shop asset listing and machine numbers.
  • Run downtime reports for equipment and assets.
  • Input Safety Stop Audits into the designated safety system.
  • Maintain vendor invoice history by vendor.
  • Perform customer order entry.
  • Assist with order planning and coordination.
  • Provide warranty support and assist with customer concerns.
  • Answer incoming phone calls professionally.
  • Order and maintain office supplies.
  • Maintain accurate spreadsheets, databases, reports, and supporting documentation.
  • Communicate with customers, vendors, and internal departments as needed.
  • Gather customer feedback and communicate opportunities for process improvement.
  • Perform additional duties as assigned based on the needs of the facility.

 

Job Requirements:

Must be 18 years of age.
High School diploma or GED required.
6 months to 1 year of related experience or on-the-job training preferred.
Strong attention to detail and organizational skills.
Good written and verbal communication skills.
Professional phone etiquette.
Strong problem-solving skills.
Ability to multitask and prioritize responsibilities.
Ability to work independently while supporting team and facility success.
Knowledge of Microsoft Office.
Ability to navigate SAP or similar ERP systems.
Experience with SAP, Serrala, MVP, CMMS, customer service, warranty, maintenance administration, or manufacturing is preferred.
Ability to function efficiently under pressure.
Positive attitude, dependability, and strong work ethic.
Willingness to learn and take on additional job functions.

 

Physical Demands:

This position is primarily office-based within a manufacturing facility. Daily activities may include sitting, standing, walking, bending, reaching, and using a computer and telephone for extended periods. The employee may occasionally enter production or maintenance areas.

We, you, and everyone model civil and safe behavior. Working safely is essential! Required personal protective equipment (PPE) must be worn as designated when entering manufacturing or operational areas.

 

Travel:

This position does not require regular travel to other Woodgrain locations.
